Prepare a Roster File

Before you upload a roster file to enroll students in your class, make sure that the roster file includes the correct information specified in a way that can be read by the WebAssign application.

Important: WebAssign will not give, sell, rent, loan, or otherwise disclose your students' personal information, except when we have permission, are required to by law, or have a reasonable need to protect the rights, property, or personal safety of WebAssign, its users, or the public.   1. Decide what information you will include in the roster file.
    Student Data Required? Description
    Name Required Your students' first and last names.

    Either use one column to specify the full name, or two columns to specify the first and last name separately.

    Email Address Recommended Include student email addresses, if possible, so your students can:
    • receive login information from WebAssign after you upload the roster
    • look up their username if they forget it
    • reset their password
    • set up email notifications for assignments
    Student ID Recommended Including student IDs when available helps uniquely identify each student in WebAssign.
    Username Optional If you know what your students' usernames should be — for example, if you received a list of usernames from your school or if your school uses a standard method for assigning WebAssign usernames — you can specify them in the roster file.

    Otherwise, WebAssign can create usernames for you when you upload your roster.

    Password Optional If you want to assign different initial passwords for each student, you can specify them in the roster file; alternatively, you can let WebAssign set a unique password for each student.

    Otherwise, you can select and set the same initial password for all of your students.

    Note: You can allow students to create their own password; WebAssign will email your students instructions with a Create Password link. This option is available only if your roster contains email addresses.
  2. Optional: Add a header row.

    Either use one column to specify the full name, or two columns to specify the first and last name separately.

    Student Data Allowed Header Labels
    Full Name fullname, name
    First Name first, firstname, fname
    Last Name last, lastname, lname
    Email Address email, e-mail, emailaddress, e-mailaddress, address
    Student ID studentid, studentnumber, studentnum, id#
    Username username, user, login
    Password password, pass, passwd
    Note: The order of the columns in your file does not affect the way students are added to your roster.
  3. Add your students' information.
    Student Data Notes
    Name

    Either use one column to specify the full name, or two columns to specify the first and last name separately.

    Enter full names in one of two ways:
    • first last — for example: John Smith
    • last,first — for example: Smith,John
    Email Address
    Student ID
    Username
    Usernames in WebAssign can contain letters, numbers, and the following characters: underscore (_), hyphen (-), and period (.). Usernames are not case-sensitive, so MaryAllen, maryallen, and mArYaLlEn are all the same username.
    Note: All usernames for an institution must be unique.

    If a username is already taken, a period and a number are appended to it, for example, allen.mary.2.

    Important: If your school uses WebAssign in other classes, please coordinate your method for selecting usernames with your colleagues.
    Password

    Passwords are case-sensitive, so IAmCa3sar is not the same as iamca3sar.

    Note:
    • If you include usernames or passwords for some students, you must include them for all students.
    • The order of the rows in your file does not affect the way students are listed in WebAssign.
  4. Save the roster file to a supported file format.
    The following file formats are supported:
    • OpenDocument (.ods) spreadsheet
    • Excel 2003 (.xls) spreadsheet
    • tab-delimited text file
    • comma-delimited text file
    Note: Microsoft Excel files can be saved in different versions of the file format. WebAssign can read a Microsoft Excel file only if it is saved as an Excel 97-2003 Workbook. More information
